Thus, the dental clinic decided to procure a new Clinic Management System that offers more features than their existing one. The new Clinic Management System should have the following features:

1. Patient Registration System and Printing of Patient labels
2. Perform 6-monthly patient recall via SMS
3. Perform Appointment reminder via SMS
4. Accounts System and Invoice Printing
5. Management of Medical and X-Ray records

Our Solutions:

We recommended Angel Dental Clinic to use our MoCo SMS Suite Pro Dental Edition. The system was deployed on the computer at the counter.

1. Patient Registration System & Printing of Patient Labels

Our MoCo Address Book will be used for Patient Registration. Once a patient is added into the Address Book, the staff can use MoCo to print out patient labels.

Angel Dental Clinic used to mail out post cards for 6-monthly patient recalls. They wished to switch to using SMS because it is much cheaper and more effective than sending out postcards. Moreover, sending out patient recalls via SMS also makes less work for the staffs.

But this method of reminder was time-consuming and often not effective as sometimes the patients were in meeting and unable to take calls. Problems:

Grand Realty Group is one of the largest real estate company in Singapore. It has over thousands of property agents registered with them.

The management of Grand Realty Group wanted to provide a SMS query service for their agents:

1. An SMS machine will be installed at their main office. The admin staff will update an Excel file on that machine with the latest valuation prices of flats according to their districts and room type.
2. All registered agents can send in sms to the SMS machine, querying the valuation prices of HDB flats of particular district and room type.
3. The SMS machine, upon receiving the sms query, will retrieve the information from the Excel file and reply to the agents.

Our Solutions:

We installed our MoCo SMS Suite Professional edition onto one of the computer at the company’s main office. Their admin staff created and maintained a Microsoft Excel file that looks something like the screenshot below:

Then, we created a rule at the Auto Response System of their MoCo SMS Suite:

The rule will tell the MoCo system, upon receiving an incoming SMS that begins with the word “HDB”, to retrieve information from an Excel file and then send it back to the sender of the query sms.

The system will match column A and B of the Excel file with the 2nd and 3rd word of the incoming sms, and then retrieve the relevant information.

For example, an agent can send in an sms “HDB 2 3R” to the system. According to the Excel file above, the system will reply the agent with an sms : “Price: 125K – 200K; Valuation: 200K – 250K”.

The system proved to be very useful to the agents and thus MoCo SMS Suite has again provided an excellent value-added service to our customers.

Case Study: Using MoCo SMS Suite in Temple

Problems:

Golden Temple is a grand buddhism temple with a lot of devotees. The temple’s management decided to computerize their operations in order to have better engagement with the younger generations.

The management decided to have a member management system that can perform the following tasks:
1. Disseminate information in Chinese and English SMS to its devotees
2. Handles queries/feedbacks from devotees
3. Invite devotees for events via sms and tracks the attendance rate

Our Solutions:

We recommended MoCo SMS Suite Professional edition to the management of the temple. Their existing database was imported from Microsoft Excel file into MoCo’s Address Book.

Since MoCo supports multi-language sms, their problem 1 is easily resolved using MoCo.

All incoming sms that begins with the word “Feedback” will all be consolidated inside a folder. Devotees were informed about the new feedback system on their website and on notices inside the temple.

For problem 3, we suggested the temple executive to make use of MoCo’s Appointment Book to schedule their events.

In the above figure, the executive created an appointment inside the MoCo Appointment Book to invite devotees to attend their Vesak Day celebration. The first sms was sent out 14 days prior to the event. Devotees were asked to confirm their attendance via sms. One day before the event, an sms reminder would be sent out to those devotees who confirm their attendances.

The committee of St Peter’s Church wanted to computerize their church operation and have an effective communication platform to engage their younger members. Their committee feels that SMS would be a very effective communication medium and wished to have a system which can perform the following tasks:

1. Disseminate information to its members. The committee used to send email to their members, but the response isn’t satisfactory. They felt that SMS would be a more effective communication medium.

For problem 1:

The IT administrator for the church consolidated their member database into excel files, and then import them into MoCo SMS Suite. The members are grouped into their different cell groups.

The IT admin used MoCo SMS Suite’s Appointment Book to schedule events, gatherings and cell group meetups. The system will automatically send out sms reminders to remind the members of these events.

In an attempt to attract more young members, the church decided to use MoCo to engage their current young members and conduct SMS surveys for the church.

Problems:

East Coast Restaurant Group is a company with a group of seafood restaurants around the island. They were using traditional mediums like newspaper and TV advertisements for their marketing purposes.
The traditional marketing medium had served them well but the cost of advertising on such medium was high. The management was thinking of using direct marketing to complement their existing marketing strategy. The direct marketing medium should be effective and relatively cheap.

Our Solutions:

We recommended MoCo SMS Suite Marketeer edition to the management of East Coast Restaurant Group. SMS marketing is an effective way of direct marketing as almost everyone has a mobile phone. The cost of sending SMS is also considerably cheaper than the existing traditional marketing medium they were using.

Apart from using MoCo to send marketing sms to their existing customers, we also suggested ways of expanding their customer base via a combination of new and traditional marketing mediums.

Their management put up an advertisement on the newspaper, advertising their new set dinners for festive seasons. On the ads, they also asked the readers to sms to their MoCo system to redeem an eVoucher.

The above rule instructed the MoCo SMS Suite to activate the following two actions when an incoming sms starting with the word “Voucher” is received:

1. Register the sender of sms into Address Book
2. Send an eVoucher sms back to the sender, if the sender fullfils the eVoucher conditions

In the newspaper ads, they asked the readers to send an sms in the following format:

The response was good and the restaurant group’s customer database had expanded. This shows that SMS marketing can be used concurrently with traditional marketing mediums to achieve greater success. The customer database is an invaluable asset to the company and MoCo SMS Suite proved to be an excellent tool in managing this asset.

Case Study: Using MoCo SMS Suite in Clubs & Associations

Problems:

The Traditional Chinese Medicine (TCM) association of Singapore has over thousands of practising and aspiring TCM phycisians as it’s members. The association regularly conducts classes and workshops for its members.

The association’s management required a system that can perform the following tasks:
1. Disseminate information to its members in an effective and efficient way
2. Send sms to inform their members of any upcoming classes or workshops
3. Send sms to remind their members to attend their registered classes / workshops, 1 or 2 days prior to it

An additonal requirement is that, the system should be able to send sms in Chinese Language because some of the TCM terms are better conveyed in Chinese.

For problem 1:
The Association is able to use MoCo SMS Suite to send out sms to its members. Information is disseminated in an effective and efficient way. Since MoCo SMS Suite supports multi-language sms, the association can choose to send out sms in English or Chinese.

For problem 2 & 3:
We suggested to the Association to use MoCo’s Appointment Book to organize their classes and workshops schedule:

The Appointment Book’s calendar is only available in MoCo SMS Suite Professional edition and it is very handy when comes to organizing course schedule.

When you clicked on any of the items on the calendar, a detailed information page (as shown above) will display for you to enter the detailed information.

As shown in the above figure, the system will send out sms to its members automatically when it is 14 days before the course date, to inform them about the course and instruct them on how to register. The members can simply reply sms to register for the course preview.

One day before the course preview, a reminder sms (as shown in above figure: 2nd sms reminder) will be sent out to those members who has registered for the course preview.

Since MoCo SMS Suite supports multiple Appointment Book, the association can create a different Appointment Book (Calendar) for each classroom. In this way, they can easily checked the availability of different classrooms using the MoCo’s Appointment Book system.

Another useful feature of MoCo SMS Suite’s Appointment Book is that it can track the responses of its recipients. As shown above, it can track the percentage of members who have send confirmation for the course preview. The response can also be generated into a HTML format report which is viewable on any internet browser.

The management and its staff is happy with the new system as it has managed to make their work flow more efficient and there is also significant increase in the course participation of their members.

For problem 1:

Here, every contact/customer has fields like “Membership Points”, “Referrer Mobile”, “Referrer ID”, etc which are the basic components of a membership referral system. When a new member sign up at any branches, they will fill in a membership form with their particulars, including the mobile number of the person who introduced him/her to Zen Fashion. All these forms will be consolidated and the particulars keyed into MoCo SMS Suite at the main office.

This setting only need to be set once. When a new member is keyed into MoCo SMS Suite’s Address Book, the system will automatically increment the membership points of the person who referred this member.

Members can always send an sms to the MoCo system to query their latest membership points. Zen Fashion will decide how much discount to be given to each customer based on their membership points.

For problem 2:

Zen Fashion uses MoCo SMS Suite to send out personalized sms regularly to their customers and members to inform them of their latest promotions.

They used the “Advanced” option on the above screen capture to retrieve members who have a certain level of membership points and send out the promotion sms to them:

Case Study: Integrating SMS Survey with Call Centre

We will illustrate how MoCo SMS Suite can be deployed in various sectors by using different real-life case studies. In this article, we will show you how MoCo SMS Suite can integrate with Call Centre to provide SMS Survey service. The Call Centre name in this article is not the actual name.

Problems:

Singapore Publishing is a reputable publishing company in Singapore. They have a call centre which receive a lot of calls everyday from advertisers wanting to enquire and place ads on their publications.

They wished to have a system which can integrate with their call centre database so that a sms will be sent out to the caller once they put down their phone. The sms will request the advertisers to rate the operator’s service from 1 to 5, with 1 being the best and 5 being the worst.

The system should be able to present the ratings survey in graphical format to show the overall satisfaction of the advertisers, as well as being able to track the individual ratings of the operators.

Our Solutions:

In order to fulfill the requirements of Singapore Publishing, we proposed to customize our MoCo SMS Suite Professional edition to integrate with their backend call centre database.

After our customization, the staffs of Singapore Publishing can use MoCo to create various kind of surveys, with different message content, on different timings and intervals, etc. The system will randomly retrieve records from the call centre database that satisfy the user’s preset conditions, and then send out the survey request sms.

The advertisers, upon receiving the survey request sms, will reply with an sms between “1” to “5” to rate the service of the operators. All the incoming survey sms are consolidated and reports are generated every month in HTML and Excel formats to review the operators performance.

Feedback from the staffs shows that the system is working very well and is very useful in appraising their operators’ performance.

Case Study: Using MoCo SMS Suite in Tertiary Institution

We will illustrate how MoCo SMS Suite can be deployed in various sectors by using different real-life case studies. In this article, we will show you how MoCo SMS Suite can help in tertiary institution operations. The school name in this article is not the actual name of the school.

Problems:

Pioneer Instituition is a famous instituition in Singapore. Their lecturers are dedicated and wished to enhance the communication with their students. The lecturers noticed that the students are very “addicted” to sms-ing and wished to have a system such that the students can sms their questions to the lecturers and the lecturers are able to reply via sms as well.

However, there are some considerations for such a communication platform to exist. Although undoubtedly such a system would enhance the interaction between the lecturers and the students, some lecturers are not comfortable to release their own private mobile number to the students. Moreover, most of the older lecturers are not very proficient in typing out sms on their handphone, and would prefer a system that is similar to email.

Our Solutions:

We deployed our MoCo SMS Suite Enterprise Edition onto the computers of Pioneer Instituition. We installed MoCo Server software onto the omputer of the Course Manager, and then installed MoCo Agent software onto the computers of the individual lecturers.

The MoCo Server software is packaged with one usb gsm modem, which is also attached to the usb port of the Course Manager’s computer. All lecturers will be using the MoCo Agent software installed on their own PCs to read incoming sms and send out replies.

Now, the students are notified that they can sms their questions to the lecturers over this number “9XXX XXXX”. Each lecturer is given a codename based on their initials. For example, lecturer Mr Eric Chan will be using the initial “EC”.

So if any student has any question to ask Mr Eric Chan, he/she can send an sms such as this : “EC Dear sir can you explain to me why the answer to tutorial question 4 is not 25?” to the number publicised. The sms will be received by the MoCo Server software on the Course Manager’s PC, and then routed to the lecturer Mr Eric Chan’s computer. Mr

Eric Chan can then reply the sms using the MoCo Agent software on his PC.

The lecturers feedback that the system is very useful as it provides an additional channel of communication between the lecturers and students without compromising the privacy of the lecturers.

Case Study: Using MoCo SMS Suite in School

Problems:

Brightstar Primary School is a government school located in the western side of Singapore. Every morning, there will be a number of parents calling in to inform the school that their children is on medical leaves. As all the teachers need to prepare for lessons and morning assembly during that short period of time, it is always a bit chaotic if they still have to handle these incoming phone calls.

As such, the teachers at Brightstar Primary School suggest to have a system which can receive incoming sms and consolidate them into a file on their network. Preferably, the system can also perform an auto-reply to the parents to acknowledge the receival of their medical leave notice.

In addition, the school would also like to have a system in place so that they can send sms to the parents in case of emergency events.

Our Solutions:

We installed our MoCo SMS Suite into one of the PC that connect to their intranet. We created a rule inside the Auto Response System of MoCo:

As shown above, the rule states that any incoming SMS that begins with the word “MC” will activate two actions:

1. An auto reply sms will be sent to the sender: “Thank you for informing us that your child is on medical leave. Wish your child have a good rest and recover well. – Brightstar Primary School.”

2. The incoming sms will be logged down into a file inside the folder “C:\MoCo Stuffs\MoCo Reports\Student MC”. All SMSes that are received within the same day will be consolidated into a single file.

Thus, the system is now able to solve the teachers’ problem and makes their MC handling much more efficient.

Other than that, MoCo SMS Suite can also be used to send sms to parents to inform them of any events. The teacher also set up another rule in the Auto Response System to consolidate any incoming SMS that begins with the word “Query”. Whenever the parents have anything they need to enquire about, they can send an sms and these sms will be logged down by the system and the teachers / admin staffs would respond to them everyday.

The teachers feedback that our system help them save a lot of time and make the MC handling much easier to track.
